Privacy & Data Retention Policy
We provide DJ, entertainment, equipment hire and event services. This policy explains what personal information we collect when you enquire, book with us, or buy event tickets, why we collect it, how long we keep it, and the rights you have over it.
What we collect
- Contact details — your name, email address, phone number and address, so we can arrange and deliver your booking or ticket order.
- Event details — dates, venues, running notes and any requirements you share with us.
- Payment and billing records — quotes, invoices and payment history. We never see or store your card numbers; card payments are handled entirely by Stripe.
- Playlist requests — song requests and the name of the person who requested them, where the guest playlist feature is used for your event.
- Correspondence — emails and notes relating to your enquiry or booking.
Why we use it
- To perform our contract with you — arranging, delivering and invoicing your booking or ticket order.
- To meet legal obligations — UK law (HMRC) requires us to keep financial records, including invoices and payments, for six years.
- Legitimate interest — service emails about your booking, such as confirmations, reminders and payment receipts.
We do not send marketing emails without your consent, and we never sell your information.
Who we share it with
We use a small number of trusted service providers to run our business. They process your data only on our instructions:
- FreeAgent — our accounting system (contact and invoice records).
- Stripe — card payment processing.
- Google Calendar — scheduling our staff for your event.
- Sentry — technical error monitoring to keep our systems reliable.
- Our email provider — to send you booking and payment emails.
How long we keep it
- Clients and ticket buyers — your details are kept for six years after your last booking or event, because financial records must be retained for HMRC. After that, your personal details are permanently anonymised — not just archived.
- Enquiries that don't become bookings — anonymised after two years.
Your rights
You have the right to:
- Access — request a copy of the information we hold about you.
- Correction — ask us to fix anything that's wrong.
- Erasure — ask us to delete your personal details. We will anonymise everything we can immediately; financial records are kept in redacted form until the legal retention period ends.
To exercise any of these rights, email us and we'll respond within one month.
